Getting Started
How does the work pool work?

Salon.CX connects posted coverage needs with employees who are available to work them. Employees maintain their profile, skills, travel preferences, and availability. Managers post shifts for specific salons, dates, times, and roles, then use the calendar and recommendations to fill coverage cleanly.

Tip: Keep your availability and skills current. Better profile data makes shift recommendations more useful and reduces last-minute follow-up.
📝 Can new employees register themselves?

Self-registration is currently on. New employees can use Register from the sign-in area to create a work pool profile, then the team can finish the correct role, salon, skills, and active status.

🏢 Do employees see every salon?

Employees can currently browse shift opportunities across all active salons. Home salon still matters for profile context and fit scoring, but the calendar is not limited to only the employee's home salon.

Tip: If a salon is missing from your view, check your home salon, active status, and role before assuming the shift was removed.
🔑 Why do different roles see different pages?

The navigation is driven by role and permissions. Managers work with assigned salon coverage tools when manager permissions are enabled. Employees see the employee-facing calendar, claimed shifts, profile, and availability tools that are currently enabled for staff.

Tip: Missing pages come from role, salon assignment, active status, or a permission that is intentionally turned off.
Calendar & Shifts
📅 What calendar view opens by default?

The default calendar view is currently Month. From the calendar, users with access can move between month, week, and day views, then filter by salon, role, employee, status, or date range.

Tip: Managers can save repeated filter combinations as calendar views for fast return workflows.
How do employees claim a shift?

Employee claiming is currently enabled. An active employee can open an eligible open shift from the calendar, review the salon, date, time, role, notes, and then claim it.

Tip: Confirm the salon, start time, end time, and role before claiming. That prevents cleanup after the shift moves into claimed status.
📋 What do the shift statuses mean?

Open shifts still need coverage. Claimed shifts have an employee assigned. Completed shifts are finished and kept for reporting. Cancelled shifts are no longer active coverage needs.

Tip: Historical shift details show a lapsed-time indicator so past coverage is not mistaken for an active request.
🚫 Can employees cancel a claimed shift?

Employee claim cancellation is currently enabled outside the cancellation buffer. The current buffer is 2 hours before the shift starts. Inside that window, a manager should handle the coverage decision.

Tip: When the shift is close, contact the manager directly so the team has time to protect coverage.
🔍 Why can't I see a shift I expected?

Shift visibility follows the current permissions: open shifts are available to employees, own claimed shifts are available, filled shifts are available, and all-salon browsing is enabled. Filters can also hide shifts by salon, employee, role, status, and date range.

Tip: Clear filters first. If the shift is still missing, check the shift status and whether your role has permission to see that status.
Availability & Profile
📅 How do employees set availability?

Employees maintain availability from Profile. Availability records include days, start and end times, preferred salon context, role focus, and notes. Managers use this information when deciding who to contact for coverage.

Tip: Add separate availability windows when your day has a break or when you can cover different roles at different times.
🔄 What if availability changes often?

Availability can be updated as schedules change. Notes are useful for details that do not fit a simple time window, like commute limits, preferred notice, or recurring conflicts.

Tip: Review availability before busy weekends, holidays, and school-break weeks. That is when managers lean hardest on accurate staffing signals.
🎨 Why do skills and travel radius matter?

Skills, home salon, travel radius, availability, and conflicts feed the recommended matches list. The system favors employees whose schedule and profile line up with the shift.

Tip: Use clear skill names like color, stylist, barber, front desk, extensions, closing, or opening so recommendations have useful match signals.
👤 What profile details should stay current?

Name, email, phone, home salon, skills, travel radius, notification preferences, and availability should stay current. If an email address needs account help, contact your manager or contact support.

Tip: Accurate contact information matters most when coverage is time-sensitive and a manager needs a quick answer.
🔒 Who can see contact details?

Manager contact links are currently enabled. Employee-to-employee contact links are currently disabled. Phone numbers are currently shown when the viewer already has contact permission.

Tip: If an email or phone action is not visible, the site is applying the current privacy settings for your role.
👁 Can employees see team availability or salon hours?

Team availability is currently disabled for employees. Salon coverage hours are currently available to employees. Managers use their own availability permissions for staffing coordination.

Tip: When team availability is off, employees can still keep their own profile accurate so managers have reliable coverage data.
Managers & Coverage
How do managers post coverage needs?

Manager shift creation is currently enabled. Managers can create shifts from the calendar by choosing salon, date, start time, end time, role, and notes. Drag-to-create is currently enabled.

Tip: Strong notes reduce follow-up. Include service mix, station needs, lunch coverage, closing help, or front desk context.
How do recommended matches work?

Recommendations rank employees by schedule fit, role and skill fit, salon context, travel radius, availability quality, and conflicts. When the top recommendation has a fit score of 80 or higher, the card highlights that employee as the best choice.

Tip: Use the score and reasons together. A high fit score is a strong signal, but the notes and coverage context still matter.
💬 What is a nudge?

Shift nudges are currently available to managers who can open that shift for an assigned salon and have a recommended employee candidate. Availability nudges are currently enabled for managers.

Tip: Start with the strongest recommended matches, especially when a shift is soon or requires a specific skill.
When should a shift be edited, completed, or cancelled?

Manager editing is currently enabled, completion is enabled, and cancellation is enabled. Complete shifts after the coverage window is worked. Cancel shifts when coverage is no longer needed.

Tip: Historical shifts remain useful for reports and follow-up, so complete or cancel them instead of leaving old requests ambiguous.
🏢 How do manager permissions work?

Managers work inside the permissions and salon assignments configured for their role. Those settings determine whether managers can create, edit, cancel, and complete shifts, view contact links, and use availability tools.

Tip: Use manager workflows for daily coverage decisions inside assigned salons.
Staying Informed & Troubleshooting
🔔 How will I know when something changes?

Salon.CX uses in-app notifications for shift activity, claimed-shift updates, and manager nudges when those actions are enabled. Logged-in users can review recent activity from the notification bell and the Notification Center.

Tip: If alerts feel noisy or quiet, review your Profile settings and confirm your account email is current.
👁 Can employees see who claimed a shift?

Filled shifts are currently available to employees. Claimed employee names are currently not available to employees. Managers have their own claimed-name visibility setting for coverage management.

Tip: Seeing that a shift is filled without seeing the assignee name is expected when privacy is turned on for employee views.
🛠 Why did a button or action disappear?

Actions appear only when the current user, role, shift status, timing, and permissions all allow the action. Claiming depends on open-shift visibility and claim permission. Cancelling depends on own-claim visibility, cancel permission, and the 2 hours cancellation buffer.

Tip: Check the shift status, then clear filters and confirm you are viewing the right salon and date range.
🔍 What should I check before asking for help?

Refresh the page, clear filters, confirm the account and role, and note what page or button is not working. For scheduling or coverage questions, include the salon, date, shift time, and the action you expected when you contact your manager or team.

Tip: For technical support, include a screenshot, the page name, what you clicked, and any error message you saw.
💬 Who do I contact for help?

For scheduling decisions, contact the salon manager or team. For technical issues, access trouble, notification problems, or site suggestions, contact support. If you cannot log in, ask a manager to confirm that your account is active and assigned to the correct role and salon.

Tip: Mention what page you were on, what you clicked, and what happened. That makes support requests faster to diagnose.
